Vacation may be taken at any time during the year subject to the approval of the Department Head/ Manager. 2.00 Responsibilities 2.01 The Human Resource Department ensures: • that a uniform procedure and system is established to facilitate the administration, monitoring and recording of the leave; • that employees, department heads and managers are aware of policy and procedure covering vacation. 2.02 Department Heads ensure: • that managers supervisors and employees comply with policy and procedure; • that vacation causes minimal disruption to the regular operation of the Department. Category: Employee Leave and Leave of Absence Number: 3-20 Vacation Page: 2 of 3 3.00 Eligibility 3.01 All regular full time employees receive vacation with pay at the rate of four (4) weeks’ vacation per year until the completion of their (15) fifteenth year of service. All regular full time employees receive vacation with pay at the rate of five (5) weeks’ vacation having completed fifteenth (15) years of service and under twenty (20) years of service. All regular full time employees receive vacation with pay at the rate of six (6) weeks’ vacation having completed twenty (20) years of service. For vacation entitlement purposes, all existing employees will have a vacation date established as of January 1 st of their year of hire. Regular part time employees receive a pro-rated vacation entitlement based on regular time paid. 3.02 All other employees receive vacation benefits in accordance with the Labour Standards Code and Regulations at the rate of 4% of their regular earnings. 4.00 Accumulation of Vacation Time 4.01 Vacation credits will be calculated at the rate of 1.66 days per month worked for regular full time employees one to fifteen years. After completing fifteen years an employee receives 2.08 days per month up to 20 years’ service. After completing 20 years’ service an employee receives 2.50 days per month. Part time employees will receive a pro-rated vacation based on the percentage of time worked. 4.02 During the first year of employment an employee hired after January 1st receives a pro-rated portion of the vacation. 4.03 Employees terminating from the Municipality prior to December 31st, will have their notice or final pay adjusted according to vacation benefits accrued, minus vacation benefits taken during the vacation year. 4.04 Vacation is calculated in accordance with regular time paid. Regular time paid includes vacation, sick, holiday credits, paid leave of absence and Workers' Compensation time (up to a period of six months). 5.00 Vacation Carry Over 5.01 The Municipality requires that all vacation should be taken in the year that it is earned. The vacation year is January 1 to December 31. Category: Employee Leave and Leave of Absence Number: 3-20 Vacation Page: 2 of 3 5.02 No payment in lieu of vacation will be made. 5.03 In exceptional circumstances up to five vacation days may be carried over to the following vacation year. Written application must be made to the Department Head, Administrator or CAO as applicable. Approval will be discretionary. 5.04 Days carried forward to the following vacation year, must be taken prior to March 31, of that year. 6.00 Statutory Holidays During Vacation When a holiday falls within an employee’s vacation time the vacation may be extended by an additional day, either at the start or finish of the vacation or can be taken at a later time with Department/Manager approval. 7.00 Employees Covered by a Collective Agreement 7.01 Vacation benefits for employees who are members of bargaining units will be in accordance with the appropriate collective agreement or policy in effect at July 31, 1995.
